Title Administrative Assistant – Floater (Bilingual)

The Administrative Assistant is responsible for the operations of outpatient clinic or day treatment Front Desk(s) and/or Central Intake Office and for the oversight of and provision administrative support to medical and clinical staff.

Essential Duties and Responsibilities:

  1. Maintains efficient operations of the front desk, and coordinates and delegates various functions to additional staff when needed.
  2. Greets and welcomes all clinic visitors in a courteous and professional manner. Ensures that visitors have clinic business, and alerts a supervisor or manager with any security concerns. For those with appointments, verifies that insurance and demographic information is accurate and up to date in our electronic health record (EHR) and billing systems.
  3. Confirms with clients, or delegates the confirmation of, upcoming clinic appointments
  4. Collects and documents all client co-payments according to protocol. Answers telephones promptly, distributes messages to staff after evaluating appropriate course of action for caller’s request.
  5. Makes and confirms psychopharmacology appointments according to clinic protocol.
  6. Triages all calls for medication refill requests from patients, VNA, CBFS, or residential
  7. programs according to clinic protocol.
  8. Triages all callers requesting new services according to clinic protocol, provides accurate and complete information and ensures they are directed to the correct North Suffolk contact.
  9. Checks insurance eligibility according to protocol for all persons served and promptly conveys any problems to the appropriate billing or clinical staff. Presents prior authorization paperwork to clinicians on the same day to prevent lapses in insurance coverage.
  10. Greets new clients coming in for intake appointment and coordinates with any clinical or administrative staff involved in the intake process. Where appropriate, explains intake packet information to client, informs clinician that client has arrived, collects intake packet information, and gives appropriate paperwork to clinician. Maintains accuracy of all demographic and insurance information in EHR and in billing system.
  11. Faxes, copies or scans documents as requested by clinical staff.
  12. Scans all appropriate or identified documents into EHR, first ensuring they are completed fully; returns form to clinician if incomplete.
  13. Updates prescriber and clinician caseloads in EHR as directed by appropriate clinical staff member.
  14. Follows Clinic emergency procedures protocols in the event of psychiatric or medical emergency.
  15. Reviews next day scheduled appointments and follows procedures to confirm client insurance eligibility and ensure our billing system has accurate and up to date information. Notifies the billing department immediately of any changes in insurance.
  16. Checks all releases for completeness and promptly mails all PCP releases (or others, as requested by clinician). Documents and initials the date sent out in the top right-hand corner before scanning into EHR.
  17. Sort and distribute promptly all incoming faxes, USPS mail and interoffice mail.
  18. Reconcile the cash to the cash receipt ledger throughout the day and secure all cash at the end of the day following clinic procedures. Compile weekly cash receipts and send to Central Office as per protocol.
  19. Participates in and oversees general office upkeep and maintenance, i.e. organization of paper files, coordination of repairs to office machines and ordering and restocking supplies, tracking petty cash and other duties as directed
  20. Participates in data collection as directed by supervisor.
  21. Other duties as assigned by the Clinic Manager or designee.

Education and Experience Required:

High School Diploma or GED completion required. Associate’s degree preferred.  Previous office experience, preferably in a healthcare setting, and computer skills required.  Bilingual Spanish/English required.  Some evenings required.  Flexibility to travel to various sites including Chelsea, East Boston, Revere and downtown Boston required.

Title Data Analyst

Job Summary

The Data Analyst must have experience working with large and complex sets of healthcare data and be detail oriented with strong analytical, communication, critical thinking and math skills. The Analyst will report to the Director of Compliance and Quality Management and will interact closely with internal and external managers/constituents to define projects and detailed analysis plans and reporting systems that will help guide business decisions.  The Analyst will support the current SQL database system and will conduct research on software applications that would support the Agency to be more efficient with data and outcomes collection and reporting.  The Analyst must possess very strong organizational skills, maintain excellent documentation, and have experience with interpreting and presenting data to senior and executive level managers.

Education and Experience:

Bachelor’s Degree required in Public Health, Statistics, Computer Science or a similar discipline with three to five years’ experience managing databases and conducting data analysis. Master’s Degree preferred.

Title Director of Community Service Agency

The CSA Director ensures that Intensive Care Coordinators and Family Partners facilitate care planning and coordination of services for eligible MassHealth children and youth and their families utilizing the Wraparound model.  This position is responsible for the overall clinical, training and administrative aspects of the program consistent with applicable state, local and federal contracts, regulations and guidelines in collaboration with the Director of Child and Family Services.

Position Requirements:

Master’s degree in a relevant field required. LICSW highly preferred and three (3) years of supervisory and/or management experience.  A minimum of 5 years post-graduate experience providing behavioral health services to youth and families.  Experience managing a home-based or Wraparound program is preferred.  CANS certification is required.

The Medical Director is responsible for overall management of all medical matters for the Agency, providing leadership with respect to strategic planning, compliance and operations. Works closely with North Suffolk Executive Team Leadership, the Department of Mental Health, and the Massachusetts General Hospital Department of Psychiatry.  Develops initiatives to ensure consumers receive medically and psychiatrically appropriate services.  Conducts evaluations, crisis intervention, and consultation as needed; maintains a small clinical caseload. Assists with recruitment, hiring, evaluation and credentialing for medical staff. Provides clinical and administrative supervision. Participates in committees addressing community needs.  Develops new programming addressing quality and outcomes measures and improved health integration.

Desired applicants possess competence, credentials, and experience to make independent judgments about cases and systems and are able to develop systems, practices, and policies regarding healthcare needs.  On-call after hours required.

Minimum of five years of professional experience, with current and valid registration as a physician under the Massachusetts Board of Registration in Medicine.  Board Certified by the American Board of Psychiatry.

Prior demonstrated competency in management and administrative roles.  Addictions experience required. Experience in community and public sector mental health required.  Buprenorphine waiver preferred.

NSMHA is an active teaching and research site, with possible appointment with the MGH Department of Psychiatry.

Title HUD Full Charge Bookkeeper

The HUD Full Charge Bookkeeper is responsible for the financial statement preparation of all HUD projects through balance sheet reconciliation.  The HUD Bookkeeper prepares and manages HUD Accounts Payable and Accounts Receivable.  Responsible for the accurate reconciliation of designated balance sheet accounts for NSMHA. In addition, this position is responsible for assisting with the administrative and operations of NSMHA fleet of vehicles.  The HUD Bookkeeper is responsible for monthly closing, preparation of HUD budgets, billing, and reconciliation of accounts.  Maintains client rent databases, security deposits and rent receivables.  Responsible for tenant rent collection and lease recertifications.  Responsible for the administrative monitoring of agency vehicles, vehicle insurance, and licensing and regulatory related vehicle business.

Position requirements:

BA/BS in Accounting (or similar field) and three (3) years experience; or seven (7) years experience in a related field in place of degree. Proficiency in Excel and automated accounting systems.  Certified Occupancy Specialist (COS) or Property management experience preferred.
